Social Media Account Security

Purpose

To establish a single point of contact for access to administrative rights to Campus-level Social Media Accounts in order to facilitate communications and to promote account security.

Policy

The Office of Public Affairs will coordinate, on behalf of the Chancellor, approval of administrative access to Campus-level Social Media Accounts. Unit executive officers may request administrative access by e-mail for designated employees who are responsible for communicating official messages:

  1. on behalf of campus leadership;
  2. related to development and advancement strategies and programs;
  3. related to campus emergencies, crises, and other campus safety concerns; and/or
  4. related to central campus marketing strategies and programs.

The Office of Public Affairs will also facilitate removal and transfer of administrative access to Campus-level Social Media Accounts in the event a designated employee leaves the university or no longer meets the criteria for such access.

The Office of Public Affairs will review requests for limited access to Campus-level Social Media Accounts on a case-by-case basis.

The Office of Public Affairs, the Office of Public Safety, and the Office of the Chief Information Officer will share top-level administrative rights for all campus-level social media accounts and, in coordination with the University Ethics and Compliance Office, will coordinate evaluation of allegations of misuse of administrative access of campus-level social media accounts. The Office of Public Affairs, the Office of Public Safety, the Office of the Chief Information Officer and the Office of Illinois International Programs will share top-level administrative rights for all existing and emerging international accounts.

Definitions

Campus-level social media accounts

Campus-level Social Media Accounts include public-facing social media accounts that represent the campus as a whole and disseminate central communication messages on behalf of the campus. International social media accounts, for example Sina Weibo and WeChat, are also considered campus-level social media accounts. Campus-level social media accounts do not include college, department, or unit-level social media accounts.
